The Role
The Bid Manager is responsible for supporting the end-to-end bid and tender process, ensuring high-quality, compliant, and compelling submissions are produced on time. Working closely with Sales, Pre-Sales, Procurement, and Finance teams, the role manages inputs, coordinate timelines, and ensures all bid documentation aligns with customer requirements and internal commercial governance.
This role is critical in helping the business win new customers and retain existing ones within a fast-paced MSP environment.
Day-to-day at Ekco:
Bid and Tender Support
Manage the end-to-end bid process for public and private sector opportunities, including tenders, RFPs, RFQs, and proposals.
· Support the sales team by identifying and qualifying public sector Frameworks suitable for the business
Manage bid timelines, deadlines, and internal inputs to ensure submissions are completed accurately and on time.
Act as the central point of contact for bid-related activity, ensuring clarity and accountability across stakeholders.
Support the Sales team through the governance process to ensure we’re working on the right bids at the right time
Assess customer requirements/documents to determine bid strategy and win themes
Content Coordination and Compliance
Collate, review, and format bid responses to ensure they are clear, professional, and compliant with customer requirements.
Ensure all mandatory questions, schedules, and supporting documents are completed in full and submitted correctly.
Maintain and develop a bid content library, including standard responses, case studies, CVs, and certifications.
Commercial and Pricing Support
Work closely with Sales, Pre-Sales and Procurement to support pricing models, cost validation, and margin approval.
Ensure commercial elements of bids align with approved pricing, cost sheets, and internal governance processes.
Support clarification responses and post-submission queries from customers.
Stakeholder Collaboration
Liaise with Sales, Technical teams, and Procurement to gather accurate technical, service, and commercial information.
Ensure consistent messaging across technical, commercial, and operational responses.
Support internal bid reviews and approval checkpoints prior to submission.
Process Improvement and Reporting
Track bid outcomes, feedback, and win/loss data to support continuous improvement.
· Co-ordinate regular continuous improvement meetings with other departments such as Sales, Technical, Procurement and Legal to improve processes, content, and ultimately increase our win rate
Identify opportunities to improve bid quality, efficiency, and success rates.
Ensure bid activity is recorded accurately within the CRM system.
What we are looking for:
Experience in a bid, proposal, or commercial support role, ideally within an MSP, IT services, or B2B environment.
Strong written communication skills with the ability to produce clear, persuasive, and professional responses.
Excellent organisational skills with the ability to manage multiple bids and deadlines simultaneously.
High attention to detail and strong compliance focus.
Experience responding to public sector frameworks and tenders (e.g. Crown Commercial Service).
Understanding of managed services, cloud, networking, security, or IT support offerings.
Experience working with CRM systems and document management tools.
Understanding of margin management and commercial governance within an MSP.
