Role
Reporting to the Accounts Payable Manager, this Accounts Payable Assistant role sits within our Accounts Payable team verifying invoices, matching them with purchase orders, resolving discrepancies, maintaining vendor records, and scheduling payments. AP staff ensure compliance with internal controls, support month-end closing activities, and contribute to accurate financial reporting. Strong attention to detail, organizational skills, and the ability to work effectively with both internal teams and external vendors are essential.
Key responsibilities
Process supplier invoices accurately and in a timely manner, ensuring correct coding and adherence to company policies.
Perform matching of invoices, purchase orders, resolving any discrepancies with internal teams.
Prepare and schedule weekly or monthly payment runs, including electronic payments.
Maintain up-to-date vendor records and respond promptly to supplier enquiries.
· Reconcile supplier statements and follow up on outstanding items to ensure accounts remain current.
Support month-end close activities and ledger reconciliation.
Monitor invoice approval workflows and proactively chase outstanding approvals.
Ensure compliance with internal controls, audit requirements, and relevant financial regulations.
Identify opportunities to streamline AP processes and improve efficiency.
Collaborate with Procurement, Finance, and Operations teams to resolve issues and support overall financial accuracy.
Requirements
Minimum of 3 years experience as part of a Finance team
Accounts payable experience is essential
Excellent communication skills
Experience in managing relationships internally or externally
Excellent computer knowledge; strong excel skills are essential including experience working with large volumes of data
Accounting and book keeping background is desirable with some Accounts Receivable experience as you many be asked to cover during busy times
Fluent English speaker
